  • using your account only for authorised purposes; and
  • notifying us if you believe your account has been compromised.

  • a managing agent;
  • a building manager;

The organisation may also be able to view information and records you submit through the Platform.

5. Using The Compliance Register

You agree to use The Compliance Register only for legitimate and authorised purposes.

You must not:

  • access information you are not authorised to view;
  • deliberately enter false information;
  • impersonate another person;
  • alter records dishonestly;
  • upload unlawful or inappropriate material;
  • attempt to bypass security controls;
  • interfere with the operation of the Platform;
  • introduce viruses, malware or harmful code;
  • attempt to gain unauthorised access to another account;
  • use information obtained through the Platform for an unrelated purpose; or
  • use The Compliance Register in any unlawful manner.

6. Information You Submit

You are responsible for information you personally submit through The Compliance Register.

Where reasonably practicable, information should be:

  • accurate;
  • relevant;
  • factual;
  • appropriate to the task or property concerned; and
  • submitted in good faith.

Records you submit may form part of the digital history of a:

  • property;
  • building;
  • location;
  • asset;
  • maintenance issue;
  • inspection;
  • cleaning task;
  • service visit; or
  • other activity.

You should therefore take reasonable care when entering information.

7. Photographs and Documents

The Platform may allow you to upload photographs, certificates, reports and other documents.

You must only upload material that:

  • is relevant to the task or record;
  • you are authorised to upload;
  • does not unlawfully infringe another person’s rights; and
  • does not contain unnecessary confidential or personal information.

Where possible, photographs should avoid unnecessarily identifying individuals who are unrelated to the relevant task or record.

You must not upload offensive, unlawful, fraudulent or deliberately misleading content.

8. Personal Information

The Compliance Register processes personal information in accordance with applicable UK data protection law.

Information about how we collect, use, store and protect personal information is available in our Privacy Policy.

Depending upon why you are using The Compliance Register, the organisation that provided or authorised your access may be the Data Controller for some of the information stored within your account or records.

The Compliance Register may process that information on the organisation’s behalf.

9. Activity Records

The Compliance Register may record information relating to your use of the Platform.

This may include:

  • login activity;
  • date and time information;
  • properties or locations accessed;
  • tasks viewed or completed;
  • records submitted;
  • photographs uploaded;
  • comments or messages;
  • changes made to records; and
  • technical and security information.

These records may be used for legitimate operational, security, audit and record-keeping purposes.

10. Messages and Communications

Information you submit through The Compliance Register should be treated as a business or property-related record.

Messages, comments and updates submitted through the Platform may be visible to other authorised Users.

You should not use Platform communications for:

  • abusive or threatening messages;
  • discriminatory content;
  • inappropriate personal communications;
  • confidential information unrelated to the task; or
  • unlawful purposes.

11. Accuracy and Compliance

The Compliance Register provides technology for creating and maintaining digital records.

The Platform does not independently certify that:

  • work has been completed correctly;
  • a contractor is qualified;
  • an inspection is legally sufficient;
  • a property is compliant;
  • an uploaded certificate is valid; or
  • an organisation has satisfied all of its legal obligations.

Users remain responsible for accurately recording the work or activity they undertake.

12. Intellectual Property

The Compliance Register Platform, software, branding, design and associated technology belong to The Compliance Register or its licensors.

Creating an account gives you a limited right to use the Platform for its intended purpose.

You may not copy, reproduce, modify, reverse engineer or commercially exploit the Platform except where expressly authorised or permitted by law.

13. Availability of the Service

We aim to provide a reliable service but cannot guarantee that The Compliance Register will be available without interruption at all times.

Access may occasionally be affected by:

  • maintenance;
  • updates;
  • security requirements;
  • internet failures;
  • third-party service failures;
  • technical problems; or
  • circumstances outside our reasonable control.

14. Suspension or Removal of Access

Your access may be suspended or removed if:

  • you breach these Terms;
  • your organisation removes your permission;
  • you leave the organisation associated with your account;
  • your access is no longer required;
  • we reasonably suspect unauthorised or fraudulent use;
  • your use creates a security risk; or
  • suspension is required for legal or regulatory reasons.

Where appropriate, your account may be disabled without deleting historical records that legitimately need to be retained.

15. Leaving an Organisation

If you leave an employer, contractor or organisation associated with your account, your access to that organisation’s information may be removed.

Records previously created by you may remain within the relevant property, task or organisation’s account where there is a legitimate reason for those records to be retained.

16. Liability

Nothing in these Terms excludes or limits liability where doing so would be unlawful.

The Compliance Register is not responsible for losses arising solely because:

  • another User entered incorrect information;
  • an organisation gave you incorrect instructions;
  • a contractor failed to complete work;
  • an organisation failed to act on information recorded within the Platform; or
  • information supplied by another User was inaccurate.

Our full provisions relating to liability are contained within The Compliance Register’s main Terms & Conditions.

17. Full Terms & Conditions

These User Sign-Up Terms apply specifically to the creation and use of your individual account.

Your use of The Compliance Register is also subject to our main:
